Based in Grimsby, Quickbox have an impressive array of clients ranging from small businesses to national organisations. Primarily they manufacture boxes to the exact specifications required, with the ability to print in colour and no restriction on minimum quantity. However, the company also love to innovate and now offer a wide range of other products – many of which use cardboard, as you may have guessed. Part of the reason Quickbox are passionate about what they do is because of the positive environmental impact, and as a company their green credentials are very impact.
When we started working with Quickbox, their website allowed customers to place orders online but the options for custom boxes were very limited and the calculations for pricing were not very accurate. In turn, this meant that prices often came out higher than they should have done which discouraged new customers. Changing the margins of the online calculator proved challenging and couldn’t be done for individual customers. Internally, staff used one of the most complicated spreadsheets we’ve ever seen to calculate the price of a box and generate data for their Order Management System. Whilst this worked, it couldn’t be updated easily and was slow to load on some computers; producing unexpected errors on occasion.
This is also meant to that orders placed through the website would have to be copied to the spreadsheet in order to generate the information for the production team. Plus, the data then had to be copied to an invoice from the spreadsheet. On top of being time-consuming, each time information was copied from one place to another the chances of a mistake being made increased. And mistakes did happen from time to time, resulting in orders occasionally going missing or being fulfilled incorrectly.
Quickbox.co approached us to improve the online ordering facility for online boxes mainly. However, after discussions, we decided that it would make sense to replace their current online calculator and spreadsheet with a unified ordering system. We then took it one step further still…
How we helped
In a sentence, we overhauled their ordering system – making it more advanced, yet simpler to use. We did this by building a WordPress plugin that integrates with WooCommerce.
The plugin allows different box types to be set up with the exact calculations for each, so that for any box added to the cart the website can determine precisely the cost to produce it – including labour costs. A markup, which can be overridden for individual customers, is then added to that price.
Here is where the magic happens: using an account-based system, the sales team can guide customers through the process and even place orders on behalf of customers thanks to a “Pay on Account” facility. Staff at Quickbox use exactly the same interface as customers, but with more options available, meaning that every order ends up in the same place making it much easier to keep track.
One area that previously caused a headache was shipping, so our plugin is able to calculate the exact cost of shipping based on agreed rates and the volume/size of items needed to be sent. This also enabled us to offer more than one option for shipping to customers depending on their requirements.
After an order has been placed, it is then automatically sent to the Order Management System, as well as Hubspot where it is linked to a contact. On top of all this, once the order has been completed an invoice can automatically be raised in Xero.
We’ve only scratched the surface here on what our solution is capable and as always, it’s built in a way that means it can easily be extended. In fact, we’re working closely with Quickbox to continuously develop it. Already though: it’s given customers much more insight and flexibility, and allowed Quickbox to much more competitive on pricing whilst having more control. Most importantly though, the Sales Team can be much more efficient and the chance of mistakes happening is now extremely low. Ultimately, the sales team can now focus on helping customers rather than repetitive administration work.
