We’re proud to have been working closely with David Ross Education Trust (DRET) since 2015. The trust run over 30 academies across the UK, including both primary and secondary schools, and has been recognised as one of the UK’s leaders. Brief
Within their secondary schools, DRET runs a series of extra-curricular sports clubs and fixtures. Keeping track of attendance at these clubs has always been important to enable DRET to report on key areas and initially, this was done using various spreadsheets which were then collated at the end of each term. Processing all of this information took two members of staff the majority of a week to do due to the sheer volume and the fact spreadsheets would often contain errors and inconsistencies.
DRET needed to find a better, faster and more accurate way of generating these reports. Importantly, it also needed to scale as their network grew without becoming more complicated.
How we helped
We built a bespoke cloud application that every academy in the Trust could use, capable of collecting the same information as their previous spreadsheets. The system allowed unique numbers to be assigned to every student in each school and in turn for them to be registered at clubs and fixtures set up by the school. For every club and fixture, there are multiple attributes that allow for in-depth reporting such as year group and sport.
These attributes, along with other mechanisms, also allow the system to prevent errors when submitting registers and automatically check validity.
Most importantly the reports that used to take days to produce can now be generated within seconds. Even better, we’ve been able to take their reports to the next level – adding more details, new empowering information and a much greater degree of accuracy.
All this means DRET now have a system that not only fits their exact requirements but also gives them more time to focus on what really matters – delivering high-quality education, and consequently more money to do so! What’s more exciting is that as the needs of the Trust change and more academies join them, it’s easy to build on the system and add features.
Thanks to the cloud, the system can also be accessed anywhere with an Internet connection and on any device without the need for any special software.
